PA systems: coverage, cost, and the point where they stop working

A PA is the right answer far more often than the internet suggests. But it has a hard ceiling, most people meet it by accident, and almost nobody plans for it in advance.

How far does a PA system actually reach?

The physics is unforgiving and easy to state: in open air, sound level drops about 6 dB every time you double the distance from the speaker.

What that means in practice is that a single good powered speaker stays clearly intelligible out to roughly 25–35 metres (80–115 ft) in reasonable conditions. Not silent past that — just no longer clear enough to follow speech comfortably.

Three things shrink that number fast:

  • Ambient noise. Speech needs to sit about 15 dB above the background. A crowd of a few hundred makes 70–80 dB on its own, so your audience is its own worst enemy.
  • Wind and open ground. Outdoors there are no reflections to help carry sound, and wind can move the coverage pattern off your audience entirely.
  • Bodies and obstructions. A dense standing crowd absorbs high frequencies — the ones that carry consonants, and therefore meaning.

How many people can a PA cover?

What PA rental costs

  • Small, self-operated — two speakers, a small mixer, a couple of mics: $150–400/day
  • Mid-size — a few hundred people, subs, more inputs: $500–1,500/day
  • Large — delay positions, engineer, power distro: $2,500+, quickly into five figures
  • Add: delivery, setup and strike labour, generator or power drops, and insurance

The pattern worth noticing: cost doesn't rise smoothly with crowd size, it rises in steps. Going from 250 to 400 people can double your bill, because that's the point where you stop adding volume and start adding a second sound system.

Where a PA runs out of road

The noise ordinance

Most municipalities cap sound at the property line, often more strictly after a set hour. Once you hit that cap, extra volume isn't a budget question — it's not available at any price. Beaches, parks, rooftops, residential streets, and shared-wall venues all tend to have conditions attached to the permit.

The front-row problem

Every dB you add for the back is a dB the front also receives. Push hard enough to reach 60 metres and the first ten rows are being hurt. There is no setting that serves both ends of a long field.

Rooms the sound never enters

Overflow rooms, lobbies, patios, queues, adjacent halls, the car park. A PA covers a shape; anyone outside that shape gets nothing, no matter what you spend.

One channel, one language

A PA plays exactly one thing. Multiple languages, an audio-description feed, or a quiet mix for people who need one all require a second delivery system by definition. When you should absolutely still use a PA

This site is not anti-speaker. A PA is the right tool when:

  • The crowd is under a few hundred and reasonably compact
  • You want physical impact — bass you feel, a shared room
  • The venue has no usable data or Wi-Fi coverage
  • Attendees may not have phones, or you can't rely on them having them out
  • Latency has to be zero because people can see the source

The mistake isn't using a PA. It's assuming a PA scales, and then discovering at 5pm on the day that it doesn't.

How many watts do I need for 500 people?

Watts is the wrong unit to plan with — it tells you about the amplifier, not about what reaches the audience. Speaker sensitivity, dispersion pattern, placement height, and ambient noise all matter more. Two efficient speakers on tall stands beat one inefficient speaker with double the wattage, every time.

Why is my PA loud but hard to understand?

That's an intelligibility problem, not a level problem. Common causes: too much low-mid energy masking consonants, reverberation in a hard room, speakers on the floor rather than up at ear height, or a crowd noise floor too close to your speech level. Turning it up usually makes all four worse.

Do more speakers always help?

No. Extra speakers that aren't time-aligned to the mains produce audible echo in the overlap zone and reduce clarity. Rear speakers need to be delayed so their sound arrives with the main system, which is a job for someone who's done it before.

What's the cheapest way to cover a large outdoor crowd?

Per person, streaming to phones — because the cost doesn't scale with headcount, while speakers and receivers both do. Whether it's the right answer depends on network coverage at your site and whether your audience will have phones in hand.
